  • Compensation: location dependent comp ranges between $8-$35/hr USD

#1 - Must be available for Eastern time zone weekday business hours between 9am-6pm
#2 - Compensation range is USD $8-$15/hr international candidates or $25-$35/hr U.S. candidates and is based on experience
#3 - Experience in a remote-first work environment 

#4 - At minimum 3+ years of experience in an small business / startup environment in a similar role, ideally U.S. business + agency + B2B

Responsibilities and Areas of Need

Our team and leadership have been growing quickly and we need someone to be the “glue” between all of the moving parts and people. The Chief of Staff will serve as a critical liaison between leadership (finance + team success + client success) and the rest of the team, ensuring smooth communication, streamlined operations, and proactive problem-solving. This role is more focused on execution and facilitation than project management and high-level strategy development.

Responsibilities include, but not limited to:

  • Be the Bridge: Translate leadership's initiatives into actionable tasks for the team that promote understanding of current priorities and goals
  • Keep the Engine Running: Oversee day-to-day operations, keeping a pulse on routines, processes, and systems that allow our remote business to operate seamlessly
  • Master the Art of Follow-Through: Proactively track open loops, delegate tasks effectively, and drive initiatives to completion across teams
  • Anticipate & Solve: Be the all-seeing eye across our tech stack, identifying trends, potential issues, and opportunities for optimization
  • Empower & Share Knowledge: Collaborate with various team members to refine checklists, training documentation, and SOPs
  • Operational Enablement: Provide high-level support to the CEO, anticipating needs, protecting her time, and offering solutions that propel the company forward

This could look like: 

  • Providing or finding support (within 1-2 hrs) for ad hoc needs or questions from the team at large
  • Attending internal meetings to capture notes, action items, deliverables, and follow-ups
  • Creating tasks in ClickUp with action items and delegate across the team
  • Quality checking our recurring tasks / processes and identify opportunities for improvements
  • Working with the Ops Assistant to monitor our time tracking tool and flag the success squad when there are inefficiencies or time allocations exceeded
  • Sharing announcements team-wide and work with leadership to support/monitor implementation of any change mgmt

Skills That Will Enable You To Thrive:

  • 3+ years of experience as a Strategic Operations Manager / Program Manager / Chief Of Staff or any similar role.
  • You learn quickly, like, really quickly. You can grok the situation and what is needed with a minimal amount of context and details.
  • You thrive in a fast-paced, ever-changing environment, embracing ambiguity and adjusting priorities on the fly.
  • You are highly skilled at self-management. You've developed your personal organization workflows so that you meet deadlines while still being flexible for emergent re-prioritization.

  • You communicate clearly and effectively, both verbally and in writing, and excel at building rapport with diverse stakeholders.
